Abstract information

How do I submit an abstract?

I have submitted my abstract but have not received confirmation of receipt, what should I do?
You will receive an email from us confirming receipt of your abstract. Please contact us at the NET conference office if you have not received confirmation within 5 working days of submission

I have submitted my abstract and have received a receipt, but now I realise that it contained a mistake and I need to revise it. Should I submit the abstract again online?
There is no need to submit the abstract again, please email the NET conference office with your amendments.

My abstract has been accepted, but I won't be able to present it at the conference. Can it still be included in the conference program booklet / abstract booklets on the memory stick?
Unfortunately, no. We do not include abstracts in the conference materials unless a presenting author registers to attend the conference.

Registration

When do I need to pay my registration fee?
Payment is required at the time of booking.

What is included in the conference registration fee?
The whole conference fee covers: full conference registration, access to the Conference App, delegate pack including copies of core papers, abstracts and keynote papers both printed and on a memory stick, early access to our website to core papers and abstracts prior to the conference, all lunches and refreshments from morning coffee on Tuesday to lunch on Thursday.

How do I book accommodation for the conference?
Accommodation is available at the conference venue. You can book this accommodation when completing the registration form. If you have already registered for the conference and want to add or change your accommodation, please contact the NET conference office.

When is the deadline for registration?
If you have had an abstract selected either as a core paper, theme paper, symposia and/or poster, you must register as a full paying delegate by Monday 4 July 2016.

I realise that I need to register by the author registration deadline, but I am still waiting to hear whether I have funding to attend. What should I do?
Please contact the NET conference office to keep us informed of your situation.

I do not have any funding and cannot pay to attend the conference, can the Committee waive my registration fee/give me discount/subsidise my expenses?
We are able to offer 1/3 off the registration fee for a limited number of full-time students on a first-come, first-served basis. We also have available a number of assisted places for service users accompanying presenters at the conference.

Please contact the NET conference office to discuss how to reserve one of these places.

Will I automatically get a receipt for my registration fee?
Receipts can be issued upon request.

Do I need a visa to attend the conference, and if so, can someone from the conference office help me with my entry visa application?
If you are unsure whether you need a visa to attend the conference, please check with your local embassy or travel agent, or follow this link to the UK Border Agency where you will able to find full information about a visa application:  http://www.ukba.homeoffice.gov.uk/visas-immigration/visiting/

You will need to submit your own application to the relevant authority and follow up accordingly. Unfortunately we are unable to follow up your application on your behalf or enter into correspondence directly with consulates.

If you do need a visa, it is essential that you begin the process as soon as possible, in order that you obtain your visa in time for the conference or registration deadline.

I notice that there is VAT to pay on the registration fee (for conferences taking place within the EU) but my institute is VAT-exempt. Does this mean that I can pay the fee without the VAT?
VAT will be added to your invoice at the prevailing rate (currently 20%).

Optional extras

Is there a dress code for the gala dinner?
No, there is no set dress code for the dinner and we suggest jackets and cocktail dresses. However, there is always a mixture of outfits for the dinner, so wear whatever you feel comfortable in.

I didn't book any optional extras (such as workshops/optional dinners) when I made my original registration, but I want to add them on now. How do I do this?
Please contact the NET conference office to book additional extras.

Attendance / cancellations

I am not yet sure if I can definitely attend the conference. Is it okay for me to register now and then cancel later, or just not turn up at the conference?
Cancellations received by email before Monday 1 August 2016 will be refunded, less an administration fee of 20% + VAT. Please note for registrations cancelled after Monday 1 August 2016, and for no-shows at the conference, no refunds can be made and the full fee will be payable.

I have to cancel my place at the conference. Can a colleague attend in my place?
Substitutions may be made at any time. Please email the NET conference office to advise us of the change of name.

I have to cancel my place at the conference completely and no one else from my organisation can attend in my place. What do I need to do?
Please contact the Conference office immediately. Cancellations received by email before Monday 1 August 2016 will be refunded, less an administration fee of 20% + VAT. Please note for registrations cancelled after Monday 1 August 2016, and for no-shows at the conference, no refunds can be made and the full fee will be payable.

Presenting at the conference

What size should I make my poster?

When is my oral presentation?
All presenters of core and theme papers and oral posters will be informed of the date and time of their presentation in May 2016, once the theme and poster sessions have been confirmed.

The symposium presentations are being presented at 16.25 on Tuesday 6 September.

How long do I have for my oral presentation?
purple_bulletcore papers have been allocated 40 minutes and we suggest you allow a maximum of 25 minutes for the presentation and 15 minutes for group discussion
purple_bullettheme papers have been allocated 25 minutes and we suggest you allow about 15 minutes (and no more than 20 minutes) for the presentation, leaving adequate time for discussion
purple_bulletsymposia have been allocated 90 minutes which should include at least 25 minutes for discussion and debate
purple_bulletoral poster presenters will have two minutes to present the key points of their poster.

I submitted an abstract, but I am now unable to attend and present it at the conference. Can a co-author / colleague present it on my behalf?
Yes, substitutions may be made at any time. Please email the NET conference office to advise us of the change of name.

Will I get the conference abstracts and programme sent to me before the meeting?
Core papers, abstracts for theme papers, symposia and posters will be made available on our website 6 weeks before the conference to registered delegates only.
